1. Response Rate Card 📈
Information shown:
- Response rate (%): Ratio of responses to invited guests
- Response status: Displayed as "X responded / Y invited"
- 7-day trend: Response trend over the past week
- 🔺 Rising: Responses are increasing
- 🔻 Falling: Responses are decreasing
- ➡️ Stable: No change
- Non-respondents: Number of guests who haven't responded yet
Example:
📈 Response Rate
62.5% 50 responded / 80 invited 🔺 +15% over 7 days Not responded: 30
How to use it:
Scenario 1: Low response rate (below 50%)
📱 Action: Send a reminder message
"Hi! It would help us a lot with meal preparation
if you could let us know whether you can attend 😊"Scenario 2: Trend is falling
⚠️ Warning: Response speed is slowing down
→ A deadline reminder is needed
→ Send a "Please let us know by D-14!" messageScenario 3: High response rate (80% or above)
✅ Great! Most guests have responded
→ Reach out individually to the remaining 30 non-respondents
→ Notify them of the final deadline✨ Pro tip: Aim for a response rate of 70% or higher 2-3 weeks before your event! 80% or above is excellent.
2. Meal Preparation Card 🍽️
Information shown:
- Total attendees: Sum of adults + children + infants
- Guest breakdown:
- 👨 Adults: N
- 👶 Children: N
- 🍼 Infants: N
- Recommended meal count: Total attendees + 5% buffer
Example:
🍽️ Meal Preparation
78 attendees expected
👨 Adults: 60 👶 Children: 15 🍼 Infants: 3
✨ Recommended: prepare 82 meals (includes 5% buffer)
How to use it:
Scenario 1: Meal reservations for weddings, first birthdays, etc.
78 total → 82 meals recommended
Actual order:
- Adult meals: 63 servings (60 + 3 buffer)
- Children's meals: 16 servings (15 + 1 buffer)
- Infants: no meal needed (3 guests)
💡 Tip: Infants (under 3) usually don't need a separate meal
Scenario 2: Buffet reservation
78 total → 85-90 servings recommended
Why:
- Buffets require refills
- Guests may eat more than expected
- A 10-15% buffer is recommended
Scenario 3: First birthday party preparation
60 adults, 15 children, 3 infants
Preparation checklist:
- [ ] 60 adult courses
- [ ] 15 children's menu servings

Example:
⏰ Recent Activity
Latest RSVP: Jimin Kim [Attending] 2 hours ago
📊 Last 24 hours: 5 responses 💬 Latest guestbook entry: 1 hour ago 👁️ Last viewed: just now
How to use it:
Pattern 1: Active engagement
Last 24 hours: 10+ responses
→ ✅ Your invitation is being shared well!
→ Keep up this momentum
Pattern 2: Declining activity
Last 24 hours: 0-2 responses
→ ⚠️ Response speed has slowed
→ A reminder is needed
→ Re-share in your group chat
Pattern 3: Many views but no RSVPs
Last viewed: just now
Last RSVP: 3 days ago
→ 💡 Lots of views but no responses
→ Send a "Please let us know if you can attend" message
Practical use by timeline:
### D-30 (one month before)
- 5-10 responses per day: normal
- Many views but few RSVPs: encouragement needed
### D-14 (two weeks before)
- 2-5 responses per day: normal
- 0 responses in 24 hours: send a final reminder
### D-7 (one week before)
- Almost no new responses: normal
- Reach out individually to undecided respondents💡 Real-time check: This card updates in real time! Refresh the page (F5) to see the latest information.
4. Average Response Time Card ⏱️
Information shown:
- Average days to respond: Average time from invitation to response
- Response speed trend:
- 🟢 Speeding up: Recent responses are coming in faster
- 🔴 Slowing down: Recent responses are coming in slower
- ⚪ Stable: Consistent pace maintained
- Response speed distribution: When most responses came in
Example:
⏱️ Average Response Time
Average 3.5 days 🟢 Speeding up
Response speed distribution:
- Same day: 40% ⬛⬛⬛⬛
- Within 3 days: 25% ⬛⬛
- Within 7 days: 18% ⬛
- Over 7 days: 17% ⬛
Distribution interpretation:
Pattern A: Fast responses (40% same day)
✅ Great!
- The invitation content is clear
- Guests are actively engaged
- Your sharing method is effective
Pattern B: Slow responses (50% over 7 days)
⚠️ Improvement needed
- Clearly state the deadline
- Send a "Please respond quickly" message
- Make the RSVP section more prominent
Pattern C: Even distribution
💭 Normal range
- Response timing varies by person
- No special action needed
- Just make sure the deadline is clearly communicated
Using the trend:
🟢 Speeding up
A good sign!
→ Responses are increasing as the deadline approaches
→ Keep your current strategy🔴 Slowing down
Attention needed!
→ Interest is fading
→ Send a reminder message
→ Create urgency with something like "Deadline: D-14"⚪ Stable
Consistent pace
→ Predictable response pattern
→ Proceeding without major changes✨ Best practice: An average response time within 3-5 days is ideal! If it's over 7 days, some encouragement is needed.

Notes on interpreting the data
1. Response rate is a reference only
✅ The right way to think about it:
- Response rate is useful for spotting trends
- Actual attendance may differ on the day
- Always plan for a 10-15% buffer
❌ The wrong way to think about it:
- An 80% response rate means exactly 80% will show up
- You only need to prepare exactly the recommended quantity2. Handling undecided responses
✅ The right approach:
- Prepare as if they will attend
- Follow up individually to confirm
- Clearly communicate the final deadline
❌ The wrong approach:
- Treating undecided as not attending
- Not following up and just waiting3. Don't over-rely on charts
✅ The right way to use them:
- Get a general sense of trends
- Use as a reference for decision-making
- Use as a communication tool with vendors
❌ The wrong way to use them:
- Trusting the charts as 100% accurate
- Ignoring real-world circumstances
- Not accounting for individual guests' situations⚠️ Important: All data is for reference only! Make final decisions based on a broader range of factors.

📋 Managing the Response Table
Below the statistics cards and charts is a response table where you can view all RSVP responses in a table format.
Columns shown:
- Name, contact (phone/email), attendance status, number of companions, guest breakdown (adults/children/infants), meal preference, message
- For the wedding category, a groom's side/bride's side badge is also shown under each name
Load more:
- If there are many responses, only some are loaded initially — use the Load more button to load the rest
- The number of responses loaded so far ("N / M total") is shown above the button
RSVP responses that were mistakenly entered or registered for testing can be deleted row by row. Deleting a response immediately recalculates the statistics and charts.
📊 Excel Export
Use the Download Excel button at the top right of the response table to download all RSVP responses as an Excel file (.xlsx).
What's included:
- Name, contact info, groom's side/bride's side (for weddings), attendance status, number of companions, adult/children/infant counts, meal preference, message
- A totals row is automatically added at the bottom (total responses, total companions, total guest breakdown, number of meal requests)
- Column widths are automatically adjusted to fit the content
The file name is automatically generated in the format "RSVP_InvitationName_DownloadDate.xlsx". You can use it directly for wedding planning meetings or when sharing with catering vendors.
The Excel download always includes all responses, not just the ones currently loaded on the page. Even if you haven't clicked "Load more" for everything, the downloaded file will contain all the data.
