Viewing Analytics

Track how your invitation is performing! Check views, RSVP responses, and detailed guest statistics.

Accessing Analytics

Method 1: From Dashboard

  1. Log in and click profile icon (top right)
  2. Select "Dashboard"
  3. Click "Collections" in left menu
  4. Find your invitation
  5. Click "Analytics" or "View Stats" button

Method 2: From Editor

  1. While editing your invitation
  2. Click "Analytics" or "View Details" button in top bar

Analytics Page Structure

The analytics page has 2 main sections.

1. Advanced Analytics Cards (Top)

4 key analytics cards:

1) Response Rate Card 📈

  • Response Rate (%): Percentage of invited guests who responded
  • Response Status: "X responded / Y invited" format
  • 7-Day Trend: 🔺Rising / 🔻Falling / ➡️Stable
  • Non-respondents: Number who haven't responded yet

Example: "62.5% (50 responded / 80 invited) 🔺 +15% over 7 days"

2) Meal Preparation Card 🍽️

  • Total Attendees: Adults + Children + Infants total
  • Breakdown: 👨 Adults N, 👶 Children N, 🍼 Infants N
  • Recommended Quantity: Total + 5% buffer

Example: "Total 78 guests (60 adults, 15 children, 3 infants) → Recommend 82 meals"

Pro Tip: The meal preparation card's recommended quantity includes a 5% buffer! Use this number when communicating with your venue.

3) Recent Activity Card ⏰

  • Latest RSVP: Respondent name, attendance status, response time
  • 24-Hour Responses: Responses received today
  • Latest Guestbook: Last guestbook entry time
  • Latest View: Last invitation view time

Example: "Sarah Kim [Attending] 2 hours ago | Past 24 hours: 5 responses"

4) Average Response Time Card ⏱️

  • Average Response Days: Average time from invitation to response
  • Response Speed Trend: 🟢 Getting faster / 🔴 Getting slower / ⚪ Stable
  • Response Speed Distribution: Same day/3 days/7 days/7+ days ratio

Example: "Average 3.5 days 🟢 Getting faster (Same day 40%, Within 3 days 25%)"

2. Detailed Charts (Middle)

4 visualization charts:

Chart 1: Attendance Status (Pie Chart) 🥧

  • Attending/Declined/Maybe ratio at a glance
  • Shows count for each category
  • Color coding: Attending(green), Declined(red), Maybe(gray)

Chart 2: Bride/Groom Side Comparison (Bar Chart) 📊

  • Groom's side vs Bride's side response count
  • Each split into Attending/Declined
  • Useful for seating arrangements

Chart 3: Response Trend (Area Chart) 📈

  • Cumulative responses over time
  • Check response speed
  • Helps determine when to send reminders

Chart 4: Guest Composition (Stacked Bar Chart) 👥

  • Groom's/Bride's side breakdown by Adult/Children/Infant
  • Use for detailed meal planning
  • Reference for seating (family groups)

Practical Use: View all 4 charts together for the full picture! Take screenshots to share with venue/vendors for easier communication.

3. Tab Menu (Detailed Information)

Two tabs for detailed data.

Tab 1: RSVP Responses

Detailed list of guests who submitted attendance.

Information displayed:

  • Name: Respondent's name
  • Contact: Phone number entered (optional field)
  • Attendance:
    • 🟢 Attending (green badge)
    • 🔴 Declined (red badge)
    • Maybe (gray badge)
  • Guest Count: Total attendees including self
  • Message: Congratulatory message left
  • Response Date: When they responded

Response list example:

Response 1:

  • Name: Sarah Kim
  • Contact: 010-1234-5678
  • Attendance: Attending 🟢
  • Count: 2 people
  • Message: Congratulations!
  • Responded: 3 days ago

Response 2:

  • Name: John Park

How to use:

  • 📝 Export to Excel (future feature)
  • 🍽️ Meal planning: Check attending count total
  • 📞 Contact verification: For emergency contact
  • 💌 Maybe respondents: Follow up personally

Calculating Meal Count: Total attending count from list = Number of meals needed Add 5-10% buffer = Final meal order

Tab 2: Guestbook Entries

Messages left by guests.

Information displayed:

  • Name: Who wrote the message
  • Message: Congratulatory message
  • Date: When written
  • Approval Status: Approved/Pending (if moderation enabled)

Guestbook example:

Entry 1:

  • Name: Mike Wilson
  • Message: "Wishing you both a lifetime of happiness! 💕"
  • Date: 2 hours ago
  • Status: Approved ✅

Entry 2:

  • Name: Emma Davis
  • Message: "Can't wait to celebrate with you!"
  • Date: 1 day ago
  • Status: Approved ✅

Entry 3:

  • Name: Anonymous
  • Message: "Congratulations on your big day!"
  • Date: 3 days ago

⚠️ Moderation Settings:

Auto-approval:

  • Convenient but possible spam
  • Shows immediately

Manual approval:

  • Safe but requires frequent checking
  • Changeable in settings

Using Analytics

1. View Count Analysis

If views are low:

  • Share your link more widely
  • Re-share in group chats
  • Post on social media

If views are high but responses low:

  • RSVP section might not be clear
  • Make call-to-action more prominent
  • Simplify response form

2. Response Rate Analysis

Target benchmarks:

  • Week 1: 40-60% is normal
  • Week 2: 60-80% is good
  • Final: 85%+ is excellent

If under 60% after 2 weeks:

  1. Send reminder messages
  2. Personal calls to family/close friends
  3. Set clear RSVP deadline
  4. Explain why you need confirmation (meal planning)

3. Attendance Planning

Check attendance ratio:

  • Attending: 70-85% (ideal)
  • Declined: 10-20% (normal)
  • Maybe: 5-10% (normal)

If "Maybe" responses are high:

  • Contact personally for confirmation
  • Set firm RSVP deadline
  • Explain why you need definite answer

4. Meal Count Planning

Using the Meal Preparation Card:

Example calculation:

Attending count: 78 people
- Adults: 60
- Children: 15
- Infants: 3

Recommended order: 82 meals (includes 5% buffer)
- Adult meals: 63 (60 + 5%)
- Children's meals: 16 (15 + 5%)
- Infant meals: 3 (usually no meal needed)

What to tell the venue:

"We're expecting approximately 78 guests.
We'd like to order 82 meals to be safe:
- 63 adult meals
- 16 children's meals
- 3 high chairs for infants"

Accuracy: The meal recommendation is based on confirmed "Attending" responses only, with industry-standard 5% buffer. Very reliable!

Understanding Key Metrics

Response Rate

What it means:

  • Percentage of invited guests who submitted RSVP
  • Higher = Better engagement

Calculation:

Response Rate = (Total Responses / Total Invited) × 100
Example: (50 / 80) × 100 = 62.5%

Improving response rate:

  1. Share invitation link widely
  2. Set clear RSVP deadline
  3. Send gentle reminders
  4. Personal follow-ups for close contacts

Attendance Rate

What it means:

  • Percentage of respondents confirming attendance
  • Different from response rate!

Calculation:

Attendance Rate = (Attending / Total Responses) × 100
Example: (45 / 62) × 100 = 72.6%

Typical attendance rates:

  • Weddings: 75-85%
  • Birthday parties: 60-70%
  • Corporate events: 80-90%

Response Time

What it means:

  • Average days from sharing to response
  • Faster = Better engagement

Ideal response times:

  • Same day: 30-40% of responses
  • Within 3 days: 25-30% of responses
  • Within 7 days: 15-20% of responses
  • Over 7 days: 10-15% of responses

If response time is slow:

  1. Simplify RSVP form
  2. Make RSVP section more visible
  3. Send reminder messages
  4. Set urgent deadline

Side Comparison Analysis

Groom's vs Bride's side:

  • Check balance for seating
  • Plan table arrangements
  • Coordinate family photos
  • Allocate space fairly

Example:

Groom's side: 35 (56%)
Bride's side: 27 (44%)

Action:
- Standard seating works
- 4 tables for groom's side
- 3 tables for bride's side

Guest Composition Analysis

Age breakdown:

  • Adults: Full meal portions
  • Children: Half portions or kids' menu
  • Infants: No meal usually needed

Example:

Total 62 attending:
- Adults: 50 (81%)
- Children: 9 (14%)
- Infants: 3 (5%)

Venue needs:
- 50 adult meals
- 9 children's meals
- 3 high chairs
- Kids' activity area recommended

Response Trend Analysis

Monitoring momentum:

  • Steep early rise = Good engagement
  • Plateau = Need reminders
  • Decline = Urgent action needed

Using trends for timing:

Day 1-3: 40 responses (fast!)
Day 4-7: +10 responses (slowing)
Day 8-14: +5 responses (plateau)

Action: Send reminder on day 15

Troubleshooting

Analytics not showing

Problem: Dashboard shows no data

Solutions:

  1. Ensure invitation is published
  2. Share link at least once
  3. Check if RSVP section is enabled
  4. Wait 24 hours after first share
  5. Hard refresh browser (Ctrl+F5)

Incorrect counts

Problem: Numbers don't match reality

Possible causes:

  1. Duplicate responses: Same guest responded twice

    • Check response list for duplicates
    • Count manually
  2. Test responses: You or team tested RSVP

    • Test data mixed with real data
    • Delete test responses
  3. Cached data: Browser showing old data

    • Clear browser cache
    • Hard refresh (Ctrl+F5)

Missing responses

Problem: Know someone responded but not showing

Privacy Considerations

What guests can see:

  • Their own response only
  • Public guestbook entries (if approved)
  • Attendance pie chart (if you enable)

What guests CAN'T see:

  • Other guests' contact info
  • Response details of others
  • Your analytics dashboard
  • Total counts (unless you share)

🔒 Privacy Protected: Guest data is kept confidential. Only you (invitation creator) can see full analytics.

1. Enable All Features

Turn on:

  • ✅ RSVP section (for response tracking)
  • ✅ Guestbook (for engagement)
  • ✅ Guest tracking (for analytics)
  • ✅ Share tracking (for referral data)

Why? More features = More data = Better insights

2. Set Clear Expectations

In your invitation:

"Please RSVP by [date] so we can

Why? Guests understand importance → Higher response rate

3. Use Multiple Channels

Share on:

A: Real-time! Every new response or view updates immediately. Refresh page to see latest data.

Q: Can I see who viewed without responding?

A: No, privacy protected. You can see:

  • ✅ Total view count
  • ✅ Who responded
  • ❌ Who viewed but didn't respond

Q: Why is my response rate lower than view count?

A: Normal! Not everyone who views will respond:

  • Some are just curious
  • Some need time to decide
  • Some forgot to submit
  • Some shared but won't attend

Typical conversion: 60-70% of viewers respond

Q: Can I delete a response?

A: Yes, from admin panel:

  1. Go to RSVP responses tab
  2. Find the response
  3. Click delete/remove button
  4. Confirm deletion

Q: Do "Maybe" responses count in meal prep?

A: No, for safety:

  • Meal Preparation Card counts "Attending" only
  • "Maybe" excluded to prevent over-ordering
  • Contact maybes personally for firm answer

A: No, private to you only:

  • Guests see only their own response
  • Can't see total counts or others' data
  • You control what to share publicly
