A sign up page with a cap on every time slot

Create time slots, set a capacity for each one, and full slots close by themselves. Use it for gallery visits, pop-up entry windows, class sessions, info sessions or trade show meetings. Just change the slots to fit the event, with event details and each guest’s entry QR code behind one link.

What it does

A cap per slot, auto-close when full

Set a capacity per slot. A full slot shows as Full and can’t be picked, while the others stay open. Two people tapping the last spot at once still can’t overbook it.

Fit the slots to your event

Events with dates and times use the slot calendar in 30-minute steps. Events split into Session 1 and Session 2 put a cap on each option instead. Add the same times to every event day fills a whole run at once.

A personal QR for every guest

After signing up, each guest sees an 8-character code and QR code they can save as an image. On the day, staff open a link on their own phone and scan it. No app, no login.

Slot overview and cancellations

The dashboard surfaces slots that are full or almost full, and lets you view one day at a time. Cancel a booking and its spot reopens right away.

How to set up a time slot sign up

01

Pick a template and enter your dates

Choose an exhibition or pop-up template and click Use this template. Add the start date, end date and closed days in the Date & Time section; the slot calendar opens on those dates.

02

Load the Session booking sample

In the Registration section, choose the Session booking sample form. Every event day (minus closed and past days) is filled with 10:00 AM, 2:00 PM and 4:00 PM slots capped at 30.

03

Adjust dates, times and capacity

Add or remove dates, change the time buttons, and type a capacity per slot. To give one slot a different cap, edit its number in the slot list.

04

Decide whether to show spots left

Turn on Show spots left to display "3 left" next to each slot. With it off, guests only see Full when a slot fills up. Check the preview, then save.

05

Publish and share the link

Publish the page and share the link by text, email or social media. Saving the Session booking sample switches check-in to personal QR, so every guest gets their own code.

06

Scan guests in on the day

In Dashboard > Check-in, create a staff link for each door. Staff open it in their phone browser and scan each guest’s QR code.

Step by step, from setup to the door

Button and menu names match what you see on screen. Each step says where to click and what appears next.

ADecide before you start

  1. Dates and closed days

For example Nov 7–23, closed Mondays. The Date & Time section drives the slot calendar.

  2. Slot times

Time buttons run from 9:00 AM to 9:30 PM in 30-minute steps.

  3. Capacity = number of bookings

One booking takes one spot even if it says 3 people, so size slots by groups.

  4. Spots left and doors

Decide whether guests see spots left, and how many doors and staff you have.

Frequently asked questions

How do I make a sign up sheet with time slots?

Pick a template, open the Registration section and load the Session booking sample. Slots and a capacity are filled in for every event day; adjust the times and numbers, then publish and share the link.

Can I limit each time slot to a set number of people?

Yes. Type a capacity per slot, or change it for individual slots in the list. Leave it blank for no limit. A full slot closes by itself while the others keep taking sign ups.

Can two people book the last spot at the same time?

No. Sign ups are processed one at a time on the server, so a 30-person slot never takes a 31st booking. If a slot fills while someone is deciding, they see "This time slot is full. Please choose another one."

Can Google Forms limit responses per option?

Google Forms can now cap the total number of responses and set a close date on its own. Capping each option separately, and closing only the full option, still needs an add-on or a script. Here, a capacity per slot or per option is built in, along with the event page and entry QR codes.

Is this a SignUpGenius alternative without ads?

A paid page shows only your own designed invitation, with no ads. A free trial page carries a Snap Post banner and has limits, so live events run on a paid page. It is built for events where people come in person: capped slots, a personal QR per guest and door scanning.

Do guests need an account to sign up?

No. Guests open the link, pick a slot and fill in the form. Signing up again from the same phone and browser updates their earlier booking instead of taking a second spot.

Can guests change their time slot?

Yes. They reopen the link on the phone they used and tap Edit response to pick another slot. They keep one spot and the same QR code.

Can guests cancel by themselves?

No. The host cancels from the dashboard list with Cancel booking, and the spot reopens immediately. Guests are not notified automatically, so let them know if needed.

Does a booking for 3 people take 3 spots?

No, one. Slot capacity counts bookings, not people. The headcount question only feeds the attendee total, so set capacity by groups.

Can I add the same times to every day of the event?

Yes. With your event dates set, the slot calendar shows Add the same times to every event day. It copies the times of the earliest date to the rest, skipping closed and past days, up to 200 slots at a time.

Is there a waitlist, payment, or reminder emails?

No. There is no waitlist, no payment and no automatic confirmation or reminder email. Guests see a confirmation screen with their QR code, and an add-to-calendar button on the page lets them save the event date. Hosts can turn on new response notifications.

How do I check people in at the door?

Create staff links in Dashboard > Check-in. Staff scan QR codes in their phone browser: green is checked in, yellow means already scanned, red "This booking was cancelled" means the booking was cancelled. Guests without their code can be found with Search by name.
